CXMIVO - Front Office Supervisor

Campus X (www.cx-place.com) is a leading Italian company in the hybrid hospitality sector, offering its guests an international experience within its facilities.

To manage the Milan Olympic Village—Italy’s largest student residence and the first “Managed by CX” facility—we are seeking a Front Office Supervisor. You’ll be a cornerstone of our facility, working to ensure that every operation runs smoothly. In addition to managing the front office’s daily activities, you’ll play a crucial role in handling reservations and optimizing business processes.

FRONT OFFICE SUPERVISOR TO DO LIST:

  • You will provide attentive customer service to all CX guests.
  • You will handle check-ins and check-outs in accordance with company standards.
  • You will be responsible for accurately entering data (customer information, reservations, maintenance requests, charges, and similar items) into the various management systems.
  • You will ensure the timely transmission of the information necessary for administrative and billing processes.
  • You will schedule and distribute room keys.
  • You will notify staff of expected arrivals and prepare the relevant documentation.
  • You will manage the app, email, and switchboard.
  • You will notify housekeeping and maintenance of incoming requests and verify that they have been completed.
  • You will ensure the timely transmission of information necessary for administrative and billing processes.
  • Together with your team, you will manage and supervise the in-house bar and café area.
  • You will be familiar with, observe, and enforce all safety regulations of the facility.
  • You will enter and modify reservations received through all sales channels and respond appropriately to complaints and inquiries.
  • You will manage the sale and organization of group bookings.
  • You will optimize room allocation and maintain constant oversight of room inventory.
  • You will be proactive in selling and organizing events.
  • You will assist in developing and maintaining the CRM.
  • You will handle any customer complaints (online and offline).
  • You will implement sales strategies in coordination with the Sales & Distribution department.
  • You will engage in upselling and promoting additional services and events.

REQUIREMENTS:

  •  High school diploma or college degree
  •  Experience in reservations/front office and/or sales, in the hospitality or non-hospitality sector
  • Strong sales aptitude and customer focus
  • Excellent organizational skills and ability to work well in a team
  • Flexibility
  • Knowledge of hotel PMS systems (knowledge of Mews will be considered a plus)
  • Excellent command of English, both written and spoken; knowledge of additional languages is preferred
