CXMI-Olympic Village - Front Office Manager

Campus X (www.cx-place.com) is a leading Italian company in the hybrid hospitality sector, offering its guests an international experience within its facilities.

For the management of the Olympic Village in Milan—Italy’s largest student residence and the first “Managed by CX” facility—we are seeking a Front Office Manager responsible for coordinating the front office team and supervising reception activities, with the goal of ensuring efficiency, quality, and continuity of service. You will be the point of contact for the entire guest experience, ensuring the proper management of operational workflows and administrative processes, as well as coordinating with external vendors and adhering to CX operational standards.

FRONT OFFICE MANAGER TO-DO LIST:

  • You will oversee guest reception, check-in, and check-out activities in accordance with established operating procedures and standards.
  • You will ensure constant and effective supervision of the reception area and guest reception spaces, coordinating the management of access, badges, keys, and authorization devices.
  • You will monitor the proper implementation of operating procedures.
  • You will coordinate the handling of guest requests, ensuring promptness, quality of service, and effective resolution of issues.
  • You will oversee communication flows between the reception, technical services, housekeeping, and external vendors.
  • You will verify that quality standards, order, decorum, and functionality of common areas are maintained.
  • You will coordinate the activities of external vendors responsible for cleaning, maintenance, and setup services.
  • You will oversee the collection and accurate recording of data related to stays, ancillary services, and consumption.
  • You will ensure the timely transmission of information necessary for administrative and billing processes.
  • You will monitor the proper filing of operational and administrative documentation.
  • You will organize and coordinate the activities of front office and reception staff.
  • You will support the team’s operational training, ensuring consistent service and adherence to procedures.
  • You will plan operational priorities and monitor the quality of the work performed.
  • You will foster a collaborative work environment focused on problem-solving and customer satisfaction.

REQUIREMENTS

  • High school diploma or college degree
  • Organizational skills, staff management, and ability to work in a team
  • Knowledge of hotel PMS systems (knowledge of Mews is a plus)
  • Previous experience in the hospitality industry as a FOM or Shift Leader
  • Excellent command of English, both written and spoken; knowledge of additional languages is preferred
  • Flexibility and attention to detail.
  • Proactive and able to work independently.
  • Excellent customer service orientation.
  • Business acumen.
